Once a vendor submits a completed questionnaire, the questionnaire sender will receive an email notifying them that a Vendor has submitted questionnaire. Simply click the link in this email to view the Vendor's submission.
For questionnaires with AI, the sender will receive a second email notifying them that AI has findings. They can click the link in this email to view the findings.
Tracking Submissions
If you want to locate Vendor Questionnaire submissions in-platform, you can find them two ways:
From the Vendor Drawer
- Navigate to the Vendors module.
- Search for the Vendor's name and click to open the Vendor Drawer.
- Go to the Questionnaires tab.
- Locate the questionnaire marked as Submitted and click to open it.
- From the Questionnaires Module
- Navigate to the Questionnaires module.
- Select the questionnaire to open the Questionnaire Drawer.
- Click the Vendors tab to view which vendors have been sent this questionnaire and check their status.
- Click on any questionnaire with a Submitted status to review it.
Reviewing the Submission
- Go to the Submissions tab in the submitted questionnaire. Here, you’ll see all responses provided by the vendor.
- Use this view to conduct your review, verify accuracy, and assess any associated risks.
Reviewing AI-Assisted Questionnaires
Once a vendor submits a completed questionnaire, the questionnaire sender will receive an email notifying them that a Vendor has submitted questionnaire. Simply click the link in this email to view the Vendor's submission.
If the questionnaire has AI enabled, the AI will automatically review the submission against your configured criteria once it’s submitted. If the AI has findings, the sender will receive a second email notifying them. They can click the link in this email to view the findings.
Note: The actions taken with AI findings will be company-specific. The below is a guide as to the options available.
What happens next:
- If the AI identifies any issues, a Findings tab will appear in the Questionnaire Drawer.
- If the findings tab does not appear, this means the AI reviewed the questionnaire with no findings.
- You’ll also receive an email letting you know that there are AI findings to review.
The Findings Tab
Each finding includes:
- A clear title
- A description of what the AI found in the vendor’s response
- An explanation of how this differs from your defined criteria
- You can see the question related to the finding in the tab, with the option to drop-down and view the Vendor's answer too.
Managing AI Findings
From this tab, you have several options to action and manage the AI's findings:
- Create a Risk
Automatically generate a new risk based on the AI’s finding. The AI drafts the risk for you
- Create a Task
Generate a task based on the finding — perfect for assigning remediation, follow-up, or internal review.
- Resolve, Accept, or Ignore
Decide how to handle the finding:- Resolve — if it’s been addressed
- Accept — if it’s a known, tolerable risk
- Ignore — if the finding is not relevant
All actions are logged in-platform, including who performed the action, when it was taken, and any comments provided.
Once your review is complete, you can move forward with creating risks, assigning tasks, or simply documenting your findings — helping ensure your vendor management process stays transparent, auditable, and efficient.
